Refund & Cancellation Policy

Narayani Institute of Engineering & Technology (NIET) is committed to maintaining transparency regarding payments, cancellations and refunds made through its website and authorized online payment facilities.

1. General Payment Policy

All payments made through the Institute's website or authorized payment gateway are subject to the applicable rules, regulations and terms of the Institute.

Before making any payment, students, applicants, parents or guardians are advised to carefully verify the student details, course/program, fee amount and purpose of payment.

Once a payment has been successfully completed, it may not be cancelled merely because the applicant or student has changed their decision, unless cancellation or refund is specifically permitted under the applicable Institute rules.

2. Admission and Application Fees

Application, registration, processing, counselling, entrance examination and similar admission-related fees are generally non-refundable once the payment has been successfully processed.

In exceptional circumstances, a refund may be considered if:

  • The Institute specifically approves the refund.
  • A duplicate payment has been made for the same application.
  • An amount has been debited due to a technical or payment-processing error.
  • The Institute is unable to provide the particular service or program for which payment was made.

3. Academic Fees

Refunds relating to tuition fees, semester fees, admission fees, hostel fees, examination fees and other academic charges shall be governed by the applicable rules, regulations, notices and refund guidelines of the Institute and/or competent regulatory authorities.

Where a refund is permitted, the refundable amount may be subject to applicable deductions, administrative charges or other conditions prescribed by the Institute.

4. Cancellation of Admission or Services

A request for cancellation of admission, registration, course enrollment or any other service must be submitted to the Institute through the prescribed procedure.

The cancellation request should contain:

  • Student/applicant name.
  • Application, admission or registration number, where applicable.
  • Course/program details.
  • Date and amount of payment.
  • Reason for cancellation.
  • Relevant transaction/reference details.

Submission of a cancellation request does not automatically guarantee a refund. Each request will be reviewed according to the applicable Institute rules.

5. Duplicate or Excess Payment

If a student or applicant accidentally makes a duplicate payment or pays an amount in excess of the applicable fee, the Institute may verify the transaction and process the eligible excess amount for refund.

Refunds will be processed after successful verification of the transaction and Institute records.

6. Failed or Pending Transactions

If the amount has been debited from the customer's bank account but the payment status on the Institute's website is displayed as Failed, Pending or Unsuccessful, the applicant should first allow the transaction status to be verified before making another payment.

If the Institute or payment gateway does not receive the amount, the transaction may be automatically reversed by the respective bank or payment service provider within the applicable banking and payment-processing time.

If the amount has been received by the Institute but is not correctly reflected on the website, the applicant should contact the Institute with the relevant transaction/reference details.

7. Payment Gateway and Bank Charges

Payment gateway charges, transaction charges, convenience fees or other charges imposed by third-party payment service providers may be non-refundable, where applicable.

Any approved refund will be processed subject to applicable payment gateway, banking and institutional rules.

8. Refund Processing

Where a refund is approved, the Institute will initiate the refund through the applicable payment channel or through the method prescribed by the Institute.

The actual time required for a refund may depend on:

  • Institute verification and approval.
  • Payment gateway processing.
  • Bank processing time.
  • The original payment method.
  • Bank holidays and payment-processing procedures.

The Institute shall not be responsible for delays caused by banks, payment gateways, card networks or other third-party financial service providers.

9. No Cash Refund

Approved refunds for online payments will normally be processed through the original payment method or another authorized electronic mode as determined by the Institute.

Cash refunds shall not normally be provided for payments made through online payment facilities.

10. Cancellation by the Institute

The Institute reserves the right to cancel or discontinue a course, event, service, application process or other activity due to administrative, academic, technical, regulatory or other legitimate reasons.

In such circumstances, any eligible refund, if applicable, will be determined according to the Institute's rules and applicable regulations.

11. Non-Refundable Charges

Unless otherwise specifically stated by the Institute, the following charges may be non-refundable:

  • Application and registration fees.
  • Processing fees.
  • Examination or assessment fees after the applicable deadline.
  • Administrative charges.
  • Convenience/payment gateway charges.
  • Charges for services already provided.
  • Other fees specifically declared as non-refundable by the Institute.

12. Refund Request Procedure

For an eligible refund request, the applicant, student, parent or guardian should contact the Institute through the official contact details provided on the website.

The request should contain sufficient information to enable verification of the payment, including:

  • Full name.
  • Student/Application ID, if applicable.
  • Course/Program.
  • Payment date.
  • Payment amount.
  • Transaction/Reference ID.
  • Registered mobile number or email address.
  • Reason for requesting the refund.

The Institute may request additional information where necessary to verify the transaction.

13. Fraudulent or Unauthorized Transactions

If a payment is suspected to be fraudulent, unauthorized or made using incorrect information, the Institute reserves the right to investigate the transaction and take appropriate action.

Applicants should immediately notify their bank/payment provider and the Institute if they believe an unauthorized transaction has occurred.

14. Policy Changes

Narayani Institute of Engineering & Technology reserves the right to modify, update or amend this Refund & Cancellation Policy at any time to reflect changes in institutional procedures, applicable laws, regulations, payment systems or services.

Any updated policy will be published on the Institute's website and shall be effective from the date of publication unless otherwise stated.
